When Project Intelligence detects an actionable item in your team's conversations, it creates an AI task suggestion. You can approve it to instantly create a real task, or dismiss it if it's not relevant. This guide explains the full workflow.

Before You Start

What Is an AI Task Suggestion?

When Asa extracts a signal from a conversation β€” particularly a blocker, open question, or handoff β€” it sometimes identifies a concrete next action that should become a task. Instead of creating the task automatically, Asa presents it to you as a suggestion with:

  • Title β€” what the task is

  • Description β€” context from the conversation

  • Priority β€” high / medium / low

  • Suggested assignee β€” based on who was mentioned or responsible in the conversation

  • Due date β€” if one was mentioned or implied

You decide whether to create it, adjust it, or ignore it.

Where to Find Suggestions

From the portfolio view (Projects page)

When a project has pending suggestions, a button appears in the project panel: "X suggested tasks" (shown in blue). Click it to jump directly to the tasks tab.

From the project detail (Tasks tab)

Open any project and go to the Tasks tab. Pending suggestions appear at the top of the tab, above the task list.

Approving a Suggestion

  1. Click Approve on a suggestion card.

  1. Asa creates the task using the suggested title, description, priority, assignee, and due date.

  1. The task appears in the project's task list immediately.

  1. The suggestion is removed from the pending queue.

You can edit the task after creation just like any manually created task.

Dismissing a Suggestion

1. Click Dismiss on a suggestion card.

2. The suggestion is removed from the queue.

3. Asa will not re-suggest the same item.

Use dismiss when the suggestion is outdated, already handled, or not actionable.

Common Mistakes

  • Ignoring the suggestion queue for too long. Suggestions pile up and lose relevance. Review them at least weekly.

  • Approving without checking the assignee. Asa guesses the assignee from the conversation context. Verify the right person is assigned before saving.

  • Expecting suggestions for every signal. Asa only creates suggestions when a signal clearly implies a concrete next action. Informational signals (decisions, timeline changes) usually don't generate suggestions.

Troubleshooting

- Symptom: suggestions appear for the wrong project.

Likely cause: source channel overlap between projects.

Fix: review and narrow the connected sources for each project.

- Symptom: no suggestions appearing despite active signals.

This is expected if signals are informational (progress updates, decisions). Suggestions only appear for action-oriented signals (blockers, open questions, handoffs).

- Symptom: approved task not showing up in task list.

Fix: refresh the page. If still missing after refresh, contact support.
